Intern - Admin (UK Calendar - UK Shift)

The Job:

  • Ensure compliance with gas, electricity, EPC, and licensing certificates by tracking and updating all relevant documentation to meet current regulations.
  • Coordinate and manage rent allocation processes, promptly addressing any issues related to landlord accounts.
  • Process and manage landlord and contractor invoices accurately, ensuring timely payments and resolving any discrepancies.
  • Address maintenance issues raised by tenants and landlords, ensuring efficient resolution through Payprop.
  • Maintain accurate tenancy details in CRM systems (Alto & Concurrent), updating information as needed.
  • Respond promptly to queries from landlords, tenants, and staff, offering effective solutions.
  • Monitor and follow up on rent arrears, contacting tenants and landlords to ensure timely payment.
  • Collaborate with managers to address lettings-related queries, ensuring smooth operations across departments.
  • Oversee the onboarding process for new properties, sellers, and buyers, ensuring all required steps are completed efficiently.
  • Manage property listings across multiple platforms, ensuring effective marketing and visibility.
  • Review and process buyer offers, perform Anti-Money Laundering (AML) checks, and assess potential buyers to ensure compliance with regulations.
  • Handle commission allocation and resolve issues related to seller accounts promptly.
  • Support administrative tasks related to communication with sellers, solicitors, and customers, ensuring smooth operations throughout.


Requirements:

  • A diploma in Business Administration or a related field is preferred.
  • Ability to work independently and manage tasks efficiently.
  • Proficiency in Microsoft Excel and other relevant software applications.
  • Strong communication and interpersonal skills, with the ability to engage effectively with various stakeholders.
  • Proven problem-solving abilities and a proactive approach to addressing challenges.
  • Experience with CRM systems (e.g., Alto & Concurrent) and property management platforms like Payprop is an advantage.
  • Exceptional attention to detail, ensuring the accuracy and maintenance of all records and documentation.
